This policy applies to xbfman_network Minecraft servers, our official webstore, our Discord server, and our support/ticket systems (collectively, the "Services").

What We Collect and Store
We store limited information linked to a player/account for security, moderation, transaction fulfillment, and support.
Account Identifiers: Minecraft UUID and current username. Historical usernames may appear in retained support/moderation records or be derivable through UUID linking.
Network & Security Logs: IP address history associated with logins, and related timestamps.
Store & Transaction Data: Our e-commerce provider (Tebex) and payment processors (PayPal, Stripe) collect your name, email, billing details, and transaction history. We do not see or store your card/financial account details.
Moderation Records: Ban and mute history, including status, reason labels, timestamps, and durations.
Support & Reports: Ticket transcripts and support history, including player reports and any attachments provided.
Filter-Triggered Chat Logs: We don't store all chat by default — only messages that trigger our automated toxicity filters are logged, along with timestamp and account identifier.
Voice Chat (Simple Voice Chat): Proximity voice audio may be processed in real time for moderation. We don't retain recordings by default — a clip is only saved when needed as evidence for a moderation action (e.g. harassment or threats).

What We Do Not Store
Minecraft client versions.
A separate permanent archive of all Discord messages — Discord content follows Discord's own platform retention and our server configuration.
Full in-game chat logs by default, except where captured in support tickets or filter-triggered logs.
Continuous or bulk voice chat recordings — only clips captured as moderation evidence, as described above.

Why We Collect It
We use the data above to:
Operate the Services and fulfill store orders (e.g. delivering ranks/items to your UUID).
Prevent abuse, cheating, harassment, fraud, and ban evasion.
Investigate and enforce rule violations.
Enforce voice-chat conduct rules and retain evidence when necessary for moderation or appeals.
Respond to support requests, chargeback inquiries, and player reports.
Protect the security and integrity of our infrastructure and community.

Where the Data Is Stored
Data may be stored in:
Our game server databases and logs (login/IP logs, purchase validation, moderation history).
Our support/ticket systems (ticket transcripts).
Our Discord server channels used for moderation/support records.
🌐Data may be processed and stored in different jurisdictions depending on our infrastructure and service providers, and may be subject to the laws of those jurisdictions.

Sharing and Disclosure
We do not sell personal information. We may share data only:
With service providers that help us run the Services (e.g. Tebex, hosting, DDoS protection, log storage, ticket tooling), under appropriate safeguards.
If required by law, or to protect the rights, safety, and security of our users and our Services.

Retention, Map Wipes, and Seasonal Resets
We keep data only as long as necessary for the purposes outlined above.
7.1 Seasonal Resets
xbfman_network runs on seasons. When we reset the server, all player-specific world data — things like in-game stats, coordinates, homes, custom inventory, virtual balances, and block placement logs — gets permanently deleted.
Your core account data is the exception: UUID history, permanent donation ranks, unlocked cosmetics, and your store purchase history are safe and stay with your account across every reset.
*Longer if linked to an active ban, appeal, or dispute.
📁We might keep some records longer if we need them — for example, for security issues, fraud prevention, chargebacks, stopping ban evasion, or an active dispute. Data can also briefly exist in backups, which get cleared out on a rolling basis.

Security
We use reasonable safeguards appropriate to the sensitivity of the information, including access controls and limiting access to authorized staff members.

Your Rights and Requests
Depending on your jurisdiction (including Canadian privacy principles such as PIPEDA, or European GDPR guidelines), you may request:
Access to the personal information we hold about you.
Correction of inaccurate information.
Deletion of information, where appropriate and where we're not required to keep it for security, dispute resolution, or legal compliance.
Identity Verification
To prevent unauthorized disclosure, we may require reasonable identity verification before providing account-linked information (especially IP history and support transcripts).
The categories of data requested (e.g. IP history, ban history, transcripts).
The relevant date range.
Your Discord ID if your account is linked (optional but helpful).
Further identity proof may be required.

We may update this policy from time to time to reflect operational changes, such as new seasonal formats or added store providers. The "Last updated" date at the top reflects the latest version.
